Office Specialist

We are seeking a proactive and detail-oriented Office Specialist to support the efficient operation of our office and provide essential administrative services.

The ideal candidate will excel in managing daily tasks, maintaining communication with employees, and ensuring seamless coordination of office needs while contributing to a collaborative team environment.

Responsibilities

• Manage correspondence, parcels, and the processing of IT equipment
• Maintain logs of correspondence and ensure proper tracking of document transfers between offices
• Scan documentation for accounting purposes and distribute incoming documents to relevant departments
• Notify vendors regarding their copies of documentation as required
• Greet and onboard new employees, facilitate photograph editing, and handle photo documentation
• Administer office supplies, manage issuance logs, and coordinate orders with the location manager
• Assign lockers to employees and maintain an accurate register of locker assignments
• Serve as the primary point of contact for employee communication, responding to inquiries in Yammer and general communication channels
• Prepare Wi-Fi access for guests and clients, as well as manage meeting room reservations and setups
• Process EXIT requests and oversee office workspace occupancy
• Handle parking requests and manage the distribution of souvenirs to employees or guests
• Actively coordinate employee interaction, assist with corporate visits, and provide support during hub events
• Perform additional administrative tasks to enhance office service and ensure smooth operations
  
  
  

Requirements

• Higher education with fluent Ukrainian and English proficiency at B2 level
• Minimum 1 year of similar work experience with knowledge of office work, etiquette, and formal correspondence practices
• Strong knowledge of PC applications like Excel, Outlook, and Teams, including the ability to operate office equipment proficiently
• Experience in preparing presentations using PowerPoint and resolving conflict situations effectively
• Exceptional analytical skills and the ability to process and evaluate large data sets
• Strong communication skills with politeness, compromise, and an active life perspective
• Demonstrated responsibility and attention to detail with a focus on risk assessment and error avoidance
• Capability to prioritize tasks, manage time effectively, and remain composed under stress while multitasking

• Familiarity with managing occupancy solutions or collaborative workspace tools
