Event Producer

You will be part of Ark Robotics’ Brand Coms team, working directly with leadership across communications, business development, and strategic partnerships.

Your mission

We are looking for an Event Producer to own Ark’s physical presence across European and Ukrainian events. This role sits at the intersection of events, production, logistics, and operational execution. Your responsibility is to turn plans into reality — from exhibitions and strategic gatherings to merchandise production and delivery.

You will be a part of the Brand Comms team, working closely with the Head of PR, and Art Director, ensuring that every physical touchpoint of the brand is executed on time, on budget, and at a high standard.

Events stack responsibilities

• Event Ownership & Execution. Own Ark’s event calendar of relevant defence, robotics, technology, industrial, and government events across Europe and Ukraine. Identify high-leverage opportunities for Ark’s strategic presence.
• Ensure Ark’s presence aligns with business development, strategic communications, fundraising, and hiring objectives.
• Own end-to-end production of exhibitions, panels, side events, and closed-door meetings.
• Support production and coordination of photo and video shoots when required.
• Assist with sourcing locations, vendors, equipment, logistics, and production coordination.
• Support broader operational initiatives that contribute to Ark’s physical brand presence.
• Own timelines, budgets, and deliverables.
• Travel frequently across Europe and Ukraine.
• Track event outcomes, strategic relevance, and follow-up actions.

Production stack responsibilities

• Own end-to-end merchandise production for events and brand initiatives.
• Coordinate sourcing, vendor selection, production, quality control, shipping, and delivery.
• Work closely with the Art Director, who defines creative direction, concepts, and design requirements.
• Translate creative requirements into production plans and deliverables.
• Maintain inventory visibility and stock tracking across all merchandise assets.
• Plan merchandise needs for upcoming events and ensure timely replenishment.
• Build and maintain relationships with production vendors and suppliers across Europe and Ukraine.
• Manage budgets, timelines, and logistics related to merchandise production and distribution.

Qualifications

• 5+ years of experience in event production or similiar roles.
• Proven experience producing complex events, exhibitions, or strategic gatherings.
• Strong organisational discipline and operational ownership.
• Fluent Ukrainian and English (written and spoken).
• Ability to travel frequently, including across Europe.
• Experience in defence, technology, venture, industrial, or high-growth startup environments is strongly preferred.
• Existing network of vendors, agencies, or production partners is a major advantage.
